Description
Our client, a top media and entertainment company, is seeking an Executive Assistant in their Burbank, CA office. This role will provide administrative and operational support to the Process and Technology Optimization and Library Management teams. Duties include calendar management, event coordination, meeting support, and acting as facilities liaison. The ideal candidate is detail-oriented, proactive, and excels at building relationships across teams.
- Location: Burbank, CA 91505
- Pay Rate: $35-37/hr., depending on experience
- Schedule: Full-time Onsite Monday–Thursday, Remote Friday. Approximately 2-month assignment.
Responsibilities:
Manage executive support tasks, including scheduling meetings, booking conference rooms, ordering office supplies, and managing parking validations.
Coordinate special projects for the Process and Technology Optimization and Library Management teams.
Serve as the floor contact for all facilities, event, and building requests.
Provide backup assistance for other assistants and coordinators as needed.
Order and coordinate breakfast, coffee, or lunches for Studio Operations team events.
Attend Senior Staff Meetings to take notes, track updates (financials, initiatives, post-mortems), and schedule follow-up meetings as requested.
Act as the main point of contact for all team meetings, including:
Gathering agenda items for Senior Staff Meeting.
Submitting monthly Studio Operations updates for the Team Newsletter.
Participate in monthly assistant check-in (as appropriate).
Order and stock kitchen supplies as needed.
Required Qualifications:
- 1–3 years of prior executive administrative experience.
- Proficiency in Microsoft Office Suite on PC or Mac.
- Strong calendaring skills, including managing frequent changes and complex scheduling.
- Experience with Concur and Coupa for expense reporting and purchasing.
- Detail-oriented and organized, with the ability to handle multiple priorities efficiently.
- Professional demeanor and excellent communication skills.
- Strong teamwork and interpersonal skills; ability to collaborate with other administrative staff.
