About The Role We are seeking a highly organized and proactive Executive Assistant to support the Chief Technology Officer (CTO) at AutoRABIT. This role requires an individual who excels in managing complex schedules, coordinating logistics, and facilitating communication within a fast-paced and remote work environment. The Executive Assistant will serve as a vital operational partner to the CTO, handling a variety of tasks including scheduling meetings, managing travel arrangements, processing expense reports, and supporting strategic initiatives. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to anticipate needs and act proactively. This position offers an exciting opportunity to work closely with senior leadership and contribute to the company’s strategic objectives while maintaining a high level of professionalism and confidentiality.

Qualifications

• Proven experience as an Executive Assistant, Administrative Coordinator, or in a similar role
• Proficiency with Google Workspace or Microsoft 365 (Calendar, Docs, Excel, Slides)
• Comfortable using Slack, Zoom, and other modern remote work tools
• Excellent organizational and time management skills
• Strong written and verbal communication abilities
• High level of discretion and ability to handle confidential information
• Self-starter with strong attention to detail
• Ability to adhere to internal controls and processes
• Must be eligible to work in the USA

Responsibilities

• Manage complex calendars, prioritize meeting requests, and coordinate internal and external appointments
• Arrange travel logistics, including flights, accommodations, and local transportation
• Prepare, submit, and track expense reports on behalf of the CTO
• Act as a liaison between the CTO and internal/external stakeholders to facilitate effective communication
• Ensure timely responses and follow-up on key action items and requests
• Schedule and coordinate leadership, team, and cross-functional meetings
• Support operational workflows related to product development, engineering, and strategic planning initiatives
• Assist in documenting follow-ups, decisions, and action items during recurring team syncs
• Track key dates, milestones, and deliverables relevant to the CTO's portfolio to ensure timely progress
