You ll own recruiting workflows, systems, data, and tooling, while remaining hands-on in execution. You will partner closely with recruiters, hiring managers, and People Ops to ensure hiring is efficient, data-driven, and delivers an exceptional candidate experience as Mysten scales.This role is ideal for someone who enjoys being deep in the details, thrives in ambiguity, and wants to grow as a senior IC in recruiting and people operations.What You ll DoCandidate Experience & Journey OwnershipOwn the end-to-end candidate experience across all stages of the hiring lifecycle, from the first interview to the offer stagesDesign and continuously improve candidate-facing touchpoints including interview scheduling, prep materials, communications, and follow-upsAct as the single-threaded IC owner for candidate experience standards, ensuring consistency, clarity, and professionalism across teams and rolesIdentify friction points in the candidate journey and implement process or tooling improvements to reduce drop-off and improve satisfactionCoordination & Execution (High-Complexity)Independently manage high-volume and high-complexity interview coordination, including multi-panel, cross-functional, and executive interviews across time zonesAnticipate scheduling challenges and proactively solve for interviewer availability, candidate constraints, and timeline risksManage candidate logistics such as NDAs, interview confirmations, travel coordination (when applicable), and real-time issue resolutionEnsure interviews run smoothly and on time, acting as a reliable point of contact for both candidates and internal teamsMeasurement & Feedback LoopsImplement mechanisms to measure candidate experience (e.g., surveys, response times, drop-off analysis)Track and analyze candidate experience metrics in partnership with recruitersUse insights and feedback to inform process improvements and candidate communication standardsEnsure consistency and high quality across recruiting processes while adapting to different teams needsATS Ownership & Systems (Ashby)Serve as the primary IC owner and expert for AshbyConfigure and maintain pipelines, interview plans, scorecards, automations, and reportingPartner with recruiters to optimize workflows and ensure data accuracy and system hygieneTroubleshoot ATS issues and act as the first line of support for the recruiting teamData, Reporting & InsightsProduce regular recruiting reports and dashboards (time-to-hire, funnel conversion, interviewer load, etc.)Maintain clean and reliable recruiting dataSurface insights that help recruiters and leaders make better hiring decisionsSupport ad-hoc analysis requests related to hiring performance and planningAI & Automation in RecruitingHelp implement and manage AI-powered tools and automations across recruiting workflowsExperiment with tools that improve scheduling efficiency, candidate experience, and recruiter productivityPartner with recruiters to responsibly incorporate AI into daily workflowsCross-Functional & Project WorkContribute as a hands-on IC to recruiting projects such as onboarding improvements, documentation, and tooling rolloutsPartner cross-functionally with People Ops, Finance, Legal, and leadership assistants on hiring workflowsWhat You ll Have4+ years of experience in recruiting coordination, recruiting operations, HR operations, or a similar roleStrong interest in Recruiting Operations as a long-term career pathHighly organized with exceptional attention to detailComfortable managing multiple priorities in a fast-moving environmentStrong systems and process mindset with the ability to execute independentlyExperience working with an ATS (Ashby strongly preferred)Analytical and comfortable working with recruiting data and reportsClear, professional communicator (written and verbal)Curious about technology and excited by AI and automation in recruitingCollaborative, approachable, and service-orientedEmployment is contingent upon the successful completion of a background check, which may include verification of employment history, education credentials, criminal history, and other relevant information.Regarding the recent rash of technology job scams: Be aware that emails from genuine Mysten Labs group recruiters will always come from the @mystenlabs.com domain or related subdomains (e.g., mystenlabs.com/careers).
