Position Summary
The Company is looking for an Executive Administrator / Operations Coordinator to support the three founders. This person will be a trusted organizational hub—managing calendars, coordinating communication, handling day-to-day administrative and operational tasks, and serving as a liaison between leadership and internal/external stakeholders. They are looking for candidates who are smart, highly organized, proactive, and able to understand and operate within a big, evolving vision. The role is based in New York reporting into the founders.
Specific Responsibilities
Executive & Administrative Support
- Manage and coordinate complex calendars for multiple executives
- Schedule meetings, prioritize requests, and ensure leaders are prepared and aligned
- Serve as a point of contact and liaison between executives and internal/external partners
- Handle follow-ups, task tracking, and execution of day-to-day requests
Operational & Office Management
- Own recurring administrative and operational tasks (payments, approvals, tracking deadlines)
- Assist with payroll-related coordination and administrative follow-through
- Manage merchandising logistics, including approvals, payments, and coordination with vendors
- Oversee small but critical operational details that currently consume executive time
Cross-Functional Support
- Support leaders across multiple business lines (music, tech, wellness, live, hospitality)
- React quickly and competently to new initiatives as they arise
- Help create structure and organization around evolving projects and priorities
Qualifications
- 3 or more years of experience in executive admin support, office management, operations, or a junior chief-of-staff–type role.
- Experience supporting senior leaders or founders
- Background in music business a plus—experience in tech, startups, media, or professional services is also welcome
- Strong computer skills in G Suite, Office and various SaaS environments
- Prior experience in accounting and budgeting support
- Strong communication skills and sound judgment
- Trustworthy, hardworking, and self-directed, anticipating the needs of executives and other stakeholders
- Comfortable handling sensitive information and financial/administrative tasks
Compensation
Competitive salary, incentive and benefits will be offered, commensurate with the role and the final hire’s experience. Depending on the job relevant knowledge, skills, abilities, experience, education, network and location of the final hire, the base salary is anticipated at an annual rate in the range of $70K to $85K.
