Position Summary
The
Senior Executive Assistant / Personal Assistant
provides high-level executive and personal support to the Co-Founder and Creative Director. This role acts as a trusted partner, ensuring seamless day-to-day operations, effective time management, and proactive coordination across business and personal priorities.
The Senior EA/PA will also manage and mentor a Junior EA and work closely with HR on administrative and people-related tasks supporting the Co-Founder. This position requires discretion, strong organizational skills, and the ability to operate confidently in a fast-paced, creative environment.
Key Responsibilities
Executive & Personal Support
- Provide comprehensive executive and personal assistance to the Co-Founder/Creative Director, managing a complex calendar, travel arrangements, meetings, and priorities.
- Act as a gatekeeper, prioritizing communications and requests while maintaining confidentiality at all times.
- Prepare meeting materials, presentations, correspondence, and follow-ups.
- Coordinate personal and professional commitments to ensure smooth integration and time efficiency.
Team Leadership & Oversight
- Directly manage and support a Junior Executive Assistant, delegating tasks and ensuring coverage for executive support needs.
- Provide guidance, training, and performance feedback to ensure high standards of support.
- Act as the escalation point for executive-related issues when required.
HR & Administrative Support
- Partner closely with HR to support administrative tasks related to the Co-Founder, including onboarding coordination, documentation, scheduling, and employee communications.
- Assist with confidential HR-related matters as required, maintaining discretion and professionalism.
- Support internal processes related to performance reviews, approvals, and executive documentation.
Coordination & Stakeholder Management
- Liaise with internal teams, external partners, and senior stakeholders on behalf of the Co-Founder.
- Coordinate logistics for meetings, events, creative reviews, and off-sites.
- Track action items and ensure timely execution of commitments.
Process Improvement & Organization
- Develop and maintain efficient systems for document management, scheduling, and workflow organization.
- Identify opportunities to improve executive support processes and team efficiency.
- Anticipate needs and proactively resolve issues before they arise.
Qualifications & Experience
- 5+ years’ experience as a Senior Executive Assistant, Personal Assistant, or similar role supporting senior leadership or founders.
- Proven experience managing or mentoring junior administrative staff.
- Experience working closely with HR or handling confidential personnel-related administration is highly desirable.
- Strong organizational, multitasking, and problem-solving skills.
- Exceptional communication skills with a high level of professionalism and discretion.
- Comfortable supporting a creative leader and adapting to changing priorities.
