About The Role The Administrative Assistant 3 is a vital support role within Humana, primarily supporting senior leadership and ensuring smooth operational workflows. The ideal candidate is a proactive self-starter capable of managing complex schedules, coordinating meetings, and handling sensitive information with discretion. This role involves providing comprehensive administrative support, including transcribing, formatting, and proofreading various documents such as correspondence, reports, and presentations using Microsoft Office programs. The Administrative Assistant 3 will coordinate both internal and external meetings, arrange travel logistics, and manage expense reconciliation with accuracy and timeliness. Working in a hybrid environment, the successful candidate will work two days in the office, primarily in Washington, DC, or Louisville, KY, and the remaining days remotely. The role demands a high level of professionalism, strong organizational skills, and the ability to prioritize multiple tasks effectively, often under minimal supervision.

Qualifications

  • 5+ years of administrative experience supporting senior leadership
  • Proven experience coordinating complex travel arrangements for executives
  • Proficiency in Microsoft Outlook, Word, and PowerPoint
  • Ability to navigate multiple systems and software applications concurrently
  • Exceptional attention to detail and accuracy
  • Strong professional demeanor and executive presence
  • Excellent communication skills, both verbal and written
  • Ability to handle sensitive information with discretion and confidentiality
  • Flexibility to support urgent requests, including availability during nights and weekends
  • Experience in office administration and corporate savviness

Responsibilities

  • Manage and coordinate calendars for two senior executives, ensuring optimal scheduling and time management
  • Arrange and coordinate internal and external meetings, including scheduling, logistics, and meeting amenities
  • Make travel arrangements for leaders, including booking flights, accommodations, ground transportation, and managing itinerary changes
  • Prepare, transcribe, format, and proofread correspondence, reports, presentations, and meeting minutes using Microsoft Office programs
  • Complete expense reports and reconcile financial documents accurately and promptly
  • Build and maintain professional relationships across Humana to support departmental objectives
  • Prioritize tasks effectively, balancing multiple initiatives while supporting urgent business needs
  • Ensure confidentiality and discretion when handling sensitive information
  • Support the organization’s compliance with policies and procedures related to administrative functions
