We are seeking a highly organized, proactive, and detail-oriented Executive Personal Assistant to provide high-level administrative and personal support to the CEO. This position plays a critical role in optimizing the CEO’s time, managing communications, coordinating events, and ensuring operational efficiency across multiple functions.
Responsibilities
- Protect, manage, and maintain the CEO’s professional and personal calendar, ensuring timely scheduling, conflict resolution, and proactive communication of updates.
- Accurately log client activities, meetings, and intake calls into Bullhorn CRM, including capturing and inputting the CEO’s notes.
- Collaborate with cross functional teams, including the internal marketing team in drafting, editing, and scheduling of social media posts (particularly LinkedIn) on behalf of the CEO and/or company.
- Collect receipts and liaise with Accounting to ensure complete and accurate and timely 1expense reporting.
- Register the CEO for relevant webinars and events. Attend select webinars and provide concise summaries and recordings.
- Assist with follow-up actions and meetings from ISSA and SIM board meetings.
- Collaborate with internal teams to plan and execute quarterly and annual meetings.
- Manage logistics for events such as quarterly Enclave dinners, including preparation of name cards, menus, and materials.
- Provide backup support for household logistics coordination (e.g., travel for CEO and family members, deliveries, or calendar syncing).
- Assist with pet care logistics, including transporting the pet to and from grooming appointments.
- Coordinate content creation and formatting for marketing materials such as newsletters, presentations, and event collateral.
- Support CRM and email campaign list management and updates.
- Assist with speaking engagements and conference participation from a marketing standpoint.
- Help track marketing initiatives and engagement data for internal reporting.
Requirements
- 2+ years of experience in an Executive Assistant or similar administrative support role.
- Proven ability to manage complex calendars and schedule meetings across multiple time zones.
- Exceptional written and verbal communication skills with a strong sense of business acumen.
- High attention to detail and adept organizational skills.
- Proficiency with Microsoft Office Suite (Outlook, MS Word, Excel, Powerpoint, etc.)
- Ability to work independently, handle confidential information, and exercise sound judgment.
- Experience coordinating travel arrangements and managing expense documentation.
Preferred Qualifications
- Experience using CRM platforms such as Bullhorn.
- Previous experience supporting business executives.
- Exposure to event planning or coordination responsibilities.
- Knowledge of the ISSA, SIM, and other local user groups.
