About The Role

The Administrative Assistant 3 plays a vital role in supporting senior leadership by managing complex schedules, coordinating meetings, and handling a variety of administrative tasks with minimal supervision. This position requires a proactive self-starter who can anticipate needs, exercise sound judgment, and take initiative to ensure operational efficiency. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. Working closely with a Senior Vice President, the Administrative Assistant 3 will coordinate internal and external meetings, manage travel arrangements, and oversee expense reconciliation, ensuring all activities align with company policies. This hybrid role requires working two days in the office in Washington, DC or Louisville, KY, with the flexibility to adapt to urgent business needs, including occasional evening or weekend support.

Qualifications

  • 5+ years of administrative experience supporting senior leadership
  • Proven expertise in coordinating complex travel arrangements for executives
  • Proficiency in Microsoft Outlook, Word, and PowerPoint
  • Ability to navigate multiple systems and software applications simultaneously
  • High level of professionalism and polished corporate demeanor
  • Exceptional attention to detail and accuracy in all tasks
  • Discretion and confidentiality in handling sensitive information
  • Strong communication skills and executive presence
  • Ability to prioritize multiple initiatives effectively
  • Flexibility to support urgent requests, including availability during nights and weekends

Responsibilities

  • Manage and maintain calendars for senior leaders, scheduling appointments and meetings efficiently
  • Coordinate internal and external meetings, including logistics, travel arrangements, and meeting amenities
  • Prepare, transcribe, and proofread correspondence, reports, presentations, and meeting minutes
  • Handle complex travel bookings, including flights, accommodations, and ground transportation, and manage itinerary changes
  • Complete expense reports and reconcile financial documents accurately and promptly
  • Build and maintain professional relationships across the organization to support departmental objectives
  • Assist with data entry, document management, and office administration tasks
  • Ensure compliance with company policies and procedures in all administrative activities
  • Support urgent business needs and adapt to changing priorities as required
