About The Role We are seeking a highly organized and proactive Executive Administrative Assistant to support our Chief Operating Officer (COO). This role is pivotal in managing the COO’s daily schedule, priorities, and relationships, ensuring seamless execution of strategic initiatives. The ideal candidate will act as an extension of the COO, handling complex calendar management, prioritizing requests, and preparing critical communication and documentation. This position requires a high level of discretion, strategic thinking, and the ability to anticipate needs, allowing the COO to focus on high-impact activities.

The Executive Administrative Assistant will serve as a trusted liaison between the COO and internal teams, external partners, and stakeholders, maintaining confidentiality and fostering effective communication. The role involves coordinating both professional and personal logistics, managing information flow, and building an efficient executive operating rhythm. The successful candidate will demonstrate exceptional organizational skills, strategic judgment, and the ability to operate effectively in a fast-paced environment.

Qualifications

  • Minimum of 3+ years supporting C-suite executives in high-velocity environments
  • Proven experience managing complex calendars and competing priorities with high accuracy
  • Strong strategic judgment and decision-making skills
  • Exceptional written and verbal communication abilities
  • High emotional intelligence and relationship management skills
  • Ability to handle sensitive information with absolute discretion
  • Proficiency with productivity tools, organizational systems, and communication platforms
  • Demonstrated ability to anticipate needs and operate independently
  • Excellent time management and organizational skills
  • Bachelor’s degree or equivalent professional experience preferred

Responsibilities

  • Fully own and manage the COO’s calendar, serving as the primary gatekeeper for all commitments
  • Evaluate and prioritize requests based on strategic importance, urgency, and relationships
  • Design and proactively manage daily and weekly schedules to optimize productivity and focus time
  • Anticipate scheduling conflicts and resolve them independently with minimal disruption
  • Build and maintain an effective executive operating rhythm, including prep documents, briefing notes, and follow-ups
  • Ensure the COO is fully prepared for meetings with relevant context, materials, and decision points
  • Track action items, deadlines, and commitments, ensuring timely follow-through across teams
  • Maintain real-time awareness of priorities, adjusting agendas as needed
  • Coordinate personal and professional logistics, including travel, events, household management, and scheduling
  • Manage confidential information with the utmost discretion and boundary management
  • Serve as a trusted liaison between the COO and senior leaders, board members, partners, and external stakeholders
  • Draft, review, and send professional communications on behalf of the COO
  • Organize and maintain information systems for quick access and decision-making
  • Prepare summaries, talking points, and briefing materials for meetings
  • Identify potential risks, conflicts, or dependencies early and escalate with recommendations
  • Maintain and update the COO’s task management system aligned with strategic goals
  • Follow up with organizational leaders to ensure accountability and closure of action items
  • Align the COO’s schedule with board deadlines, strategic initiatives, and operational cadences
