About The Role

The Legal Administrative Assistant plays a vital role within Allstate’s Client Legal Services team, providing comprehensive support to attorneys under general supervision. This position involves managing and entering case-related data, including pleadings, motions, and correspondence related to trials, arbitration, and mediation. The role requires meticulous calendar management, scheduling hearings and depositions, and maintaining organized case files within our litigation management systems. The assistant acts as a key communicator, liaising effectively with clients and internal teams to ensure smooth case progression. Adaptability and proficiency with legal technology are essential, along with a solid understanding of Florida civil procedures. This role offers a dynamic environment where attention to detail, confidentiality, and timely execution of tasks are paramount. The position is remote, with quarterly in-office attendance required at designated locations within the greater Orlando area or nearby offices in Jacksonville, Tampa, Fort Myers, Miami, or Fort Lauderdale.

Qualifications

  • High School Diploma or GED
  • Administrative experience in a legal or professional services setting preferred
  • Proficiency with litigation management systems and legal software
  • Strong organizational and calendar management skills
  • Excellent communication and interpersonal skills
  • Ability to handle confidential information with discretion
  • Adaptability to changing priorities and workflows
  • Solid understanding of Florida civil procedure (preferred but not mandatory)
  • Experience with e-filing and case documentation management
  • Proficiency in Microsoft Office Suite and related technology tools

Responsibilities

  • Monitor and maintain compliance with Team Connect (Litigation Management System)
  • Manage and update case calendars, schedule hearings, depositions, and related events
  • Enter and manage case data, including pleadings, motions, and correspondence for trial, arbitration, and mediation
  • Coordinate with attorneys and clients to facilitate case activities and deadlines
  • Prepare and organize legal documents, ensuring accuracy and timeliness
  • Communicate effectively with clients, internal teams, and external stakeholders
  • Handle confidential and sensitive information with integrity
  • Assist in maintaining organized case files and documentation
  • Support attorneys in administrative tasks related to litigation and case management
  • Adapt to evolving workflows and legal technology tools as needed
