Administrative & Project Support Assistant

Remote - must reside in the CST or MST Zone.

Seeking a highly organized, detail-oriented Administrative & Project Support Assistant to join our remote team. This role provides broad support across firm operations, proposal development, and project coordination.

This role is essential to ensuring seamless day-to-day operations, consistent delivery of polished client materials, and smooth coordination across internal teams and leadership.

Key Responsibilities

Administrative & Operational Support

  • Manage calendars (marketing calendar, testimony calendar), schedule meetings, coordinate travel, and support logistics for senior leadership.
  • Maintain and organize firmwide documents, templates, resumes, bios, and internal resources.
  • Support onboarding processes, including system setup, internal communications, and documentation updates.
  • Assist with updating internal project-management systems (e.g., Teams, SharePoint, Avaza-Time Tracking) to ensure projects open correctly and consistently.
  • Inventory and track contracts and billing rates for projects.
  • Provide general administrative support such as expense tracking, file management, and internal correspondence.

Required Qualifications

  • Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel), Teams, and SharePoint – THIS IS A MUST
  • Bachelor’s degree in business, communications, marketing, or a related field.
  • 1–3 years of experience in an administrative, project coordination, or proposal-support role within a professional services environment.
  • Experience supporting or adapting to a rapidly growing firm or scaling organization.
  • Exceptional organizational skills and strong attention to detail.
  • Strong writing, editing, and document-formatting skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced setting.
  • Professional communication skills. Preferred Qualifications
  • Experience supporting proposal or RFP development.
  • Experience with project management and CRM platforms (e.g., Microsoft Dynamics)
  • Experience using Adobe Acrobat, Canva, or other document/formatting tools.
  • Experience working in a remote or remote-first work environment.
