Administrative Assistant (Contract)

Summary:
This position provides comprehensive administrative support to an engineering and product management organization, serving as a critical operational partner who ensures seamless day-to-day functioning across multiple teams. The role requires a proactive professional who can anticipate needs, manage competing priorities, and serve as a trusted liaison between leadership, team members, and cross-functional partners. This individual will be instrumental in coordinating complex calendars, managing budgets, overseeing space planning initiatives, and fostering team culture through morale-building activities. The position demands exceptional organizational skills, sound judgment in decision-making, and the ability to handle confidential information with discretion while maintaining strong relationships across all levels of the organization.
Job Responsibilities:
- Manage and optimize executive calendars by confirming meetings, resolving scheduling conflicts, and making strategic judgment calls to align appointments with organizational priorities
- Coordinate and execute travel arrangements including booking flights and hotels while tracking travel budgets for compliance
- Review and approve expense reports to ensure adherence to company policies and budget guidelines
- Support ongoing space planning initiatives and coordinate logistics for office moves and workspace assignments
- Plan and execute team morale events while managing associated budgets and ensuring policy compliance
- Serve as the primary communication bridge between internal teams, executives, and cross-functional partners
- Respond to urgent emails and requests with appropriate prioritization and timely follow-through
- Manage onboarding and offboarding logistics for new hires including space assignments and distribution list updates
- Track and monitor departmental budgets for morale activities, travel, and operational expenses
- Coordinate meetings and events, ensuring all logistical details are handled efficiently
- Complete special projects as assigned, demonstrating initiative and problem-solving capabilities
Requirements:
- Minimum 2-3 years of experience providing team or administrative support
- Minimum 2+ years of experience managing executive calendars and coordinating travel arrangements
- Minimum 1-2 years of experience with budget tracking and expense report approval processes
- Prior experience supporting leadership or executive-level professionals
- Demonstrated proficiency with Microsoft Office Suite with minimum 2-3 years of hands-on experience
- Advanced proficiency in Microsoft Office Suite, particularly Outlook, Excel, and PowerPoint
- Exceptional calendar management and scheduling coordination abilities
- Strong organizational skills with the ability to juggle multiple priorities simultaneously
- Excellent written and verbal communication for professional correspondence and team updates
- Proactive problem-solving with the ability to identify and address issues before escalation
- Budget tracking and financial management capabilities
- Strong interpersonal skills for building relationships across diverse teams and organizational levels
- High level of confidentiality and professional discretion when handling sensitive information
- Ability to anticipate needs and take initiative without constant direction
- Adaptability and composure in fast-paced, dynamic work environments

- Pay Range*: $27.50 - 31
- Weekly Schedule: 40 hours
