Executive Assistant & Operations Manager (Concierge Pet Care)

Location: Remote (Supporting Manhattan, Brooklyn, & NJ Markets)

Are you a master of logistics with a heart for animals? We are a high-end, concierge dog training and pet sitting business specializing in the most sensitive cases—anxious, reactive, and special-needs dogs. As our business scales across NYC and New Jersey, we are looking for a proactive Executive Assistant / Operations Manager to be the "glue" that holds our operations together.

This isn't just an administrative role; you will be the founder’s right hand and the primary heartbeat of our team and client communications. If you thrive on turning chaos into order and find joy in creating seamless experiences for both team members and pet parents, we want you on our team.

Your Impact: Architect of Operations

Administrative & Operational Mastery

  • Command the Calendar: Manage complex, high-volume scheduling for the founder, trainers, and sitters. You’ll ensure perfect timing for sessions while accounting for travel and essential breaks.
  • Systems Optimization: Keep our digital workspace (HoneyBook, Slack, Google Suite) organized and efficient. You will identify bottlenecks and implement SOPs to help us scale.
  • Financial Oversight: Oversee the "business of the business," including invoicing, payroll, and contractor payments.
  • Team Synergy: Manage monthly team meetings and 1:1s—handling everything from agendas and recordings to actionable follow-up notes.
  • Brand Maintenance: Ensure our products and services are current on ShopDot and manage email server lists for various service groups.

The Client Experience

  • Primary Point of Contact: Serve as the professional and empathetic voice for clients and our team of independent contractors.
  • Thoughtful Touchpoints: Manage the client journey through scheduling reminders, session follow-ups, and personal touches like birthday and anniversary acknowledgments.
  • Data Integrity: Maintain meticulous records for every pet, ensuring trainers and sitters log post-session notes accurately to provide the best care possible.

What You Bring to the Team

  • Experience: 3–5+ years in an Executive Assistant, Operations, or Administrative role, ideally within a service-based or pet-related business.
  • Tech-Savvy Skillset: You are a quick study with new tools and proficient in:
  • Google Suite & Slack
  • CRMs: Specifically HoneyBook
  • Project Management: Asana or similar tools
  • Scheduling: Acuity or Calendly
  • Finance: QuickBooks or similar payroll tools
  • Exceptional Communication: You have a high level of "Executive Function"—you are proactive, detail-oriented, and can handle complex interactions with grace.
  • Language: English proficiency is required (Spanish is a major plus).
  • The "Pet Factor": A genuine interest or experience in dog training or pet care will help you truly excel in this role.
